From Paper to Runwell

It’s not always easy to turn paper routines into digital workflows. Here are some tips and tricks to help you out.

You’ll need Admin access to complete this guide.

At Runwell, we focus on each individual task.
This means that a traditional paper checklist often becomes several smaller tasks. You can group multiple paper forms into one task list, or split them between Tasks and Feedback.

Example: Checklists Turned into Tasks

Let’s say you currently have three checklists: one daily, one weekly, and one monthly.

Focus on what needs to be done — not when

We recommend organizing cleaning tasks in one group, with daily, weekly, and monthly tasks in the same folder.
For each employee, the right tasks will appear at the right time — keeping things clear and easy to follow.

Focus on what needs to be done — not who does it

If tasks cover the same type of work, keep them in the same folder — even if different people complete them.

For example: if the chef measures freezer and fridge temperatures, and the waiter checks the bar’s ice drawer, all tasks can be placed under Temperature Readings.

Example: Forms Turned into Feedback

Do you still have paper forms that staff need to fill out and drop in a drawer?
Everything from traditional deviation reports to order forms, daily reports, and more can be set up in Runwell as Feedback.

These can be predefined, so you always receive the exact information you need.

How to Predefine Feedback

  1. Go to Organization Settings > Categories.

  2. Select Feedback.

3. Fill in the fields with the information you want employees to provide.

4. Click Save.

Add a Reminder

It’s often a good idea to create a task with a reminder in your closing checklist.
If you also choose Open Feedback Module under Advanced, it will work like this:
