If you’ve already adjusted temperature checks, routines, and safety rounds, you’re starting to get familiar with the task module. Here are some tips for setting up your own routines in a smart and efficient way.
Create One Task Properly – Then Duplicate and Adjust
This is our top recommendation for creating multiple tasks quickly.
If you’re setting up a safety round with answer options, connected groups, or procedures, chances are your next task will look similar — just with small changes. In that case, it’s much easier to duplicate and edit than to start from scratch.
Use Instructions
Clear instructions make it much easier for new employees to get things right the first time, while staying out of the way for those who already know the job well.
Avoid Long Lists
Keep your tasks clear and manageable.
Instead of creating an opening routine with separate tasks like slice cucumbers, slice bell peppers, slice tomatoes, create one task called Slice vegetables and add the details in the instruction field.
Monthly Tasks
For routines that should be completed monthly (or less often), we recommend two methods:
Set up a weekly task that occurs every fourth Monday.
2. Set up a task for the 1st of every month.
Tip: Avoid using the 29th–31st to prevent issues in shorter months.
Tasks That Don’t Need a Date
Some tasks are important to complete regularly, but don’t need to be tied to a specific date — like tidying up the storage room.
Set these as recurring tasks.
They appear at the bottom of today’s task list and in the ad-hoc column.
They never turn red (like date-specific tasks).
Once completed, they reappear after your chosen interval (1 minute, 1 day, 1 week, 1 month, or 1 year).
