Adjust Routines and Safety Rounds

Just like you adjusted your temperature readings, you can now review, edit, and add all routines and tasks to fit your business.

About Tasks

In Tasks, you can set up all routines and duties for your business — from “white tablecloth on table 4” to fire safety rounds, cleaning the ice machine, and daily checklists.

  • Tasks are assigned to a staff group or a key person.

  • If Person 1 completes a task, it will also appear as completed for Person 2 in the same group.

  • Tasks are organized into task groups, where each task can have a different frequency and be assigned to different people.

All tasks assigned to you will appear under My Tasks, showing only what your staff group or role is responsible for, on the correct dates.

Review All Tasks

We recommend reviewing all preloaded tasks in the module — just like you did with temperature readings.


Check that:

  • The name of each routine makes sense.

  • The assigned staff group or person is correct.

  • The frequency suits your business.

  • Unnecessary tasks are removed (e.g., you don’t need an annual sprinkler check if you don’t have a sprinkler system).

Manage Tasks

  • Delete a Task (Red)
    Click the dot menuDelete.

  • Edit a Task (Green)
    Click the dot menuEdit to adjust details.

  • Duplicate a Task (Blue)
    Click the dot menuDuplicate.
    The new task will appear with “copy” in front of the name.
    Then click Edit to rename it.

Add a New Task

To create a brand-new task, click Add Task.
You can choose from 5 task types and fill out the required fields step by step.

Organize Tasks into Groups

It can quickly get messy if tasks are left ungrouped. Luckily, this is easy to fix:

  • To move a task into an existing group:
    Click the dot menuMove to Group.

  • To create a new group:
    Click the dot menuEditAdvanced → add a group name under Add Task Group.

Choose How Feedback Should Be Reported

For number-based and multiple-choice tasks only

Some routines may require extra attention — like a main fridge where you must be alerted immediately, or a fire safety check that reveals a critical issue.

For each task, you can decide if feedback should be:

  • Automatic when an error occurs

  • Optional via a quick click

  • Detailed, opening the feedback module for a full report

Set your preferences under Advanced when editing a task.

Enable Notifications

Want to be notified when:

  • Someone attaches a note to a task?

  • A task returns an invalid value?

Go to Advanced while editing the task to enable notifications.

When notifications are on, staff will also be alerted and given the option to call the responsible person directly if a value deviates from the normal range.
